Terms & Conditions
By booking our space, you agree to the following terms and conditions. Please read them carefully – they’re here to ensure everyone’s experience runs smoothly.
1. Booking & Confirmation
1a. A booking is considered confirmed once we’ve received written confirmation from you via email, stating that you’d like to confirm the proposed dates. If confirmation is given verbally (e.g., over the phone), we will follow up with a confirmation email.
1b. Booking times start as per confirmed time and if a client is late, the start time remains the same. If the shoot or event overruns through no fault of [un.titled] the client is liable for overtime charges. A full shoot day counts up to a 10 hour day (08:00 - 18:00) and a pre-light/ build is an 8 hour day (09:00 - 17:00).
2. Set Up and De-rig Time
2a. Included Hours - All set-up, de-rig and clean up must be completed within your booked hours. Please factor this into your schedule to avoid any additional charges. Overtime fees will apply unless exceptional circumstances have been agreed with us in advance and in writing.
2b. Overtime Rates - Overtime is charged per hour and will be added onto your invoice after the shoot. Rates vary depending on studio and the time of day:
• Studio 01: £150/ hour between the hours of (18:01 - 06:00) and £100/hour between the hours of (06:01 - 18:00)
• Studio 02: £100/hour per hour between the hours of (18:01 - 06:00) and £80/hour between the hours of (06:01 - 18:00)
• Studio 03: £100/hour between the hours of (18:01 - 06:00) and £80/hour between the hours of (06:01 - 18:00)
2C. Early Access - If you require access to the studio before your scheduled start time for any reason, this must be pre-arranged and may incur additional charges.
3. Booking Changes and Cancellations
We understand that plans can change and we aim to be as flexible as possible. However, as studio time is limited and demand is high, the following fees apply to any changes or cancellations:
3a. REBOOKING FEES: If you need to reschedule your booking, a rebooking fee will apply based on how much notice is given (measured from the start time of your original booking):
• 5 working days’ notice: Rebooking fee is 10% of the total booking fee. • Between 3 and 5 working days’ notice (72 - 120 hours): Rebooking fee is 15% of the total booking fee.
• Less than 3 working days’ notice (72 hours): Rebooking fee is 25% of total booking fee.
3b. CANCELLATION FEES: If you need to cancel your booking altogether, the following cancellations fees apply:
• 10 or more working days notice (240+ hours): Cancellation fee is 50% of the total booking fee.
• Between 5 and 1 0 working days’ notice (120 - 240 hours): Cancellation fee is 75% of the total booking fee.
• Less than 5 working days’ notice (under 120 hours): Cancellation fee is 100% of the total booking fee.
4. Payment
4a. Invoices & Due Dates - For new clients, full payment must be received and cleared no later than 24 hours before the booking start time. For returning clients with approved accounts, payment terms are 30 days from the date of the invoice issued.
4b. Billing Responsibility - Invoices will be issued to the company or individual who made the booking. Please ensure that billing details are correct at the time of the booking.
4c. Additional Charges - Any additional costs, such as overtime or electricity usage, will be invoiced separately after the shoot date.
4d. Electricity Use - Due to the ongoing increase in energy prices, all bookings will now incur an additional electricity charge. This will be calculated based on meter reading taken during your hire and included on the final invoice. Use of 3-phase power or significantly high energy consumption may result in higher charges.
4e. Late Payment Terms - Late payments may incur a late fee that is a percentage of the total invoice amount calculated on days late and further bookings may be suspended until outstanding balances are cleared.
4f. Payment Methods - Payments can be made via bank transfer (BACS). Bank details will be provided on your invoice.
4g. Deposits - A deposit may be required to secure any event bookings, this will be deducted from your final invoice.
4h. All prices are exclusive of VAT unless otherwise stated. VAT will be added on to the final invoice.
5. Cleanliness & Maintenance
5a. General Cleanliness - The studio must be left clean, tidy and in the same condition in which it was found. Failure to do so will result in a cleaning fee being added to your final invoice. The Studio should be left clean and tidy and must be left in the condition it was found.
5b. Cleaning for Large Shoots & Events - For events or shoots with 50 or more people, we have a standard cleaning charge of £300+ depending on the time needed. The cleaning charge is based on leaving the space in a reasonable state and a higher rate is chargeable if the space is left particularly dirty. A security deposit may be required for larger bookings and any additional cleaning or damage charges will be deducted from this deposit unless otherwise agreed.
5c. Disposal of Props & Water - All large props, set builds, bulky items or unusual waste must be removed from the studio at the end of your booking. If you need any assistance with disposal, arrangements must be made with a member of the [un.titled] team before your booking ends. Items left behind without prior agreement may incur additional removal fees, especially where specialist disposal or skip hire is required.
5d. Clients are expected to maintain cleanliness both inside and outside the studio premises. All waste must be placed in the designated internal bins or external recycling and rubbish skips provided. Additional bin bags will be supplied where needed. It is the client’s responsibility to ensure that all litter is properly disposed of and that outdoor areas are left clean and free of waste.
6. Use of Equipment
6a. Care & Return of Equipment - If your booking includes the use of lighting, camera or other studio equipment hired in through the studio, all items must be returned promptly at the end of your hire in the same condition and packed away just as they were found. Clients are fully liable for the cost of repair or replacement for any lost, damaged or missing equipment and any equipment not correctly packed away will incur a de-rig charge.
6b. Restrictions on Use: Equipment provided by Un.titled Studio may not be:
• Removed from the premises without prior written consent;
• Modified, altered or tampered with in any way;
• Used in a manner not in accordance with manufacturer guidelines; • Operated by unauthorised or untrained individuals. Any misuse of equipment may result in additional charges or refusal on future bookings.
6c. All other on-site equipment and amenities – including but not limited to heaters, fridges, kettles, lighting, and air conditioning – are used entirely at the client’s own risk. Un.titled Studio Ltd accepts no responsibility for any loss, damage, or injury resulting from the use or misuse of this equipment.
6d. Any extra equipment requested throughout the booking that is not already included in the studio hire will be charged as an additional cost. These fees will be added to the final invoice following your booking.
7. Breakages, Losses and Damages
7a. Client Responsibility - Clients are fully responsible for any damage, loss, or breakage to the studio premises, equipment, or furnishings caused by themselves or any members of their party during the booking period. Any associated repair or replacement costs will be charged to the client.
7b. Equipment Use at Client’s Risk - All equipment is used at the client's own risk. Un.titled Studio Ltd accepts no liability for:
Loss or damage to client or third-party property;
Breakdown or failure of any studio facilities or equipment that the client has used during the booking;
Any resulting losses or disruption, including consequential loss or loss of profit.All equipment used is at the risk of the client and [un.titled] studio ltd shall not be liable to the client for any loss, damage, expense, or for any consequential loss (including loss of profit) arising out of or in connection with; any damage to or loss of property by the client or third party; any breakdown, stoppage or failure of the facilities/equipment provided by [un.titled] studio ltd
7c. Studio Alterations - No alterations, modifications, or additions may be made to the studio premises, fixtures, or equipment without prior written approval from Un.titled Studio Ltd. Any unauthorised modifications may result in additional charges.
7d. Clients are required to inspect all equipment upon receipt. Any faults or unacceptable conditions must be reported immediately to a member of the Un.titled team. If no such notification is made, the equipment will be deemed to be in good working order and the client may be held liable for any subsequent damage or loss.
7e. Environmental Factors - Un.titled Studio Ltd is not liable for any disruption, damage or financial loss resulting from external environmental factors, including weather, nearby construction or general noise. Please note that while our studios are well-insulated, they are not soundproof therefore we cannot guarantee that the weather or other factors will not affect the sound recording in any of the studios.
7f. Personal Belongings - Clients are responsible for the security of their personal property and equipment. Un.titled Studio Ltd accepts no liability for any loss, theft, or damage to personal items brought onto the premises. If anything is handed in they can be found at lost property located in the main [un.titled] office.
7g. Insurance - Clients are strongly advised to arrange their own insurance to cover equipment, crew, talent, and production risks while using the studio.
8. Minors
8a. All minors (under the age of 16) must be accompanied by a parent, legal guardian, or assigned chaperone at all times while on the studio premises and grounds. Written consent from a parent or legal guardian is required for any minor to be present for filming, photography, or related production activity.
It is the sole responsibility of the chaperone and/or production team to supervise minors throughout the duration of the booking. Un.titled Studio Ltd accepts no liability for the safety, welfare, or conduct of minors while on-site.
8b. Safeguarding Policy - For productions involving minors, we reserve the right to request proof of chaperone credentials, consent documentation, or a safeguarding policy in place. We may also request that a designated welfare officer be present on set for certain productions.
8c. Restricted Areas - Minors are not permitted in restricted or technical areas unless directly involved in production and accompanied by an authorised adult.
9. Health and Safety
9a. Clients and all attendees must comply with all health and safety guidelines while on the premises. This includes maintaining clear access to fire exits and adhering to any safety instructions provided by Un.titled Studio staff.
9b. Any accidents, injuries, or unsafe conditions must be reported immediately to a member of the Un.titled team.
9c. The client is responsible for the conduct and safety of all individuals associated with their booking. Any negligence or failure to observe safety procedures may result in termination of the booking and potential liability for damages.
10. Security & Access
10a. Clients are responsible for ensuring that only authorised personnel have access to the studio during their booking. No access should be granted to third parties not involved in the production without prior approval from Un.titled Studio Ltd. The main door will be managed by the team at [un.titled] however clients must ensure the door is closed behind them on entering the building.
10b. If keys, fobs, or access codes are issued for use during a booking, they must not be copied, shared or retained after the booking has ended. Failure to return access items may incur additional charges.
10c. Clients must ensure that no equipment or lighting is left in communal areas unless otherwise agreed.
11. Internet Use
11a. Wi-Fi is provided as a courtesy for use during bookings. While we strive to provide reliable internet access, Un.titled Studio Ltd cannot guarantee uninterrupted service and shall not be held liable for any disruptions or data loss.
11b. Clients must not use the studio’s internet connection for any unlawful or inappropriate activity. Any misuse may result in suspension of access and possible termination of the booking.
12. Force Majeure
12a. Un.titled Studio Ltd shall not be liable for any failure or delay in performance of any part of its obligations due to circumstances beyond our reasonable control. This includes, but is not limited to, acts of God, natural disasters, war, fire, terrorism, labour disputes, pandemics, or government restrictions.
12b. In the event of a force majeure, we will work with clients to reschedule the booking where possible, but no refunds or compensation will be issued for cancellations or delays caused by such events.
13. Animals on Site
13a. Un.titled Studio Ltd is a pet-friendly venue. Well-behaved pets are welcome, but we kindly ask that all animals are kept on a lead when moving through communal or shared areas of the building.
13b. Clients are fully responsible for the behaviour, welfare, and cleanliness of any animals brought onto the premises. Any damage, disruption, or mess caused will be charged to the client accordingly.
13c. Animals must be supervised at all times and are not permitted in restricted or technical areas unless explicitly required for the shoot and approved in advance.
14. Noise and Nuisance
14a. Clients are required to respect our other clients in other studios and neighbouring businesses and residential areas.
14b. Music, playback or loudspeakers must be kept to a reasonable level.
15. Termination
15a. Un.titled Studio Ltd reserves the right to cancel or terminate any booking, with immediate effect, if the client is found to be in breach of any of the terms and conditions outlined in this agreement.
15b. We also reserve the right to refuse or cancel a booking, at our discretion, if we believe the intended use of the space is unlawful, unsafe or may pose a risk to the studio, its staff or the wider community.
15c. In the event of a termination due to client breach, no refunds will be issued, and any outstanding fees for damages, additional services, or overtime will remain payable.
16. Applicable Law
16a. All bookings and agreements made with Un.titled Studio Ltd are governed by and shall be interpreted in accordance with the laws of England and Wales. Any disputes arising from these terms will be subject to the exclusive jurisdiction of the courts of England and Wales.
16b. Should any provision of these terms be deemed unenforceable or invalid under law, the remaining provisions shall remain in full force and effect.
17. Agreement to Terms and Conditions.
17a. By confirming a booking via email or telephone and upon written confirmation of the booking date in our diary/ on email clients acknowledge and agree to abide by all terms and conditions outlined in this document.
17b. It is the responsibility of the client to review these terms in full prior to confirming their booking. A link to the most up-to-date version of our terms and conditions is present in our email signature and available on our website for clients for clients to review.
